A PRACTICAL DELIVERY MODEL

A partner for the work behind the brokerage.

Outsourcing works when responsibilities, permissions and operating rhythms are documented. We start with your real workload and put the right controls around it.

HOW AN ENGAGEMENT TAKES SHAPE

Clear scope first. Capacity second.

We would rather begin with a manageable, defined workflow than promise to replace an entire department without understanding the work. Our engagement framework starts with the steps below; specifics are confirmed with each brokerage.

01

Discovery and workflow mapping

We discuss brokerage size, current transaction volume, common exceptions, systems such as MLS and BrokerBay, and the tasks that routinely fall behind.

  • Map current responsibilities and document movement
  • Identify required access, approvers and supervision
  • Separate recurring work from one-off requests
02

Scope, authority and handoffs

We document who prepares information, who checks it, who approves it, and how requests or exceptions are escalated. This matters especially for contract paperwork, MLS updates and financial records.

  • Written task list and named decision-makers
  • Checklists, turnaround expectations and escalation path
  • Privacy, access controls and record-handling requirements
03

Structured pilot or initial workflow

Start with a realistic volume or selected process, review the handoffs and fix what does not work before extending the operating scope.

  • Use existing brokerage tools where authorized
  • Track outstanding items and key dates
  • Flag unclear instructions rather than guessing
04

Reporting and operational refinement

Maintain clear visibility of completed items, pending decisions and recurring problems. Review which parts of the process need more documentation or capacity.

  • Status and exception reporting
  • Agreed quality-review checkpoints
  • Options to expand into related functions
FLEXIBLE ENGAGEMENTS

Start with one process. Build from there.

The right model depends on work volume, system complexity, supervision and the amount of ongoing coordination.

MODEL 01

Defined workflow support

Ideal when an existing team needs reliable help with one function—such as listing intake or commission worksheets.

MODEL 02

Recurring operational support

For multiple routine tasks and predictable workflows that benefit from ongoing administration and reporting.

MODEL 03

Integrated back-office scope

Connect listing, deal, finance and administrative functions under a shared operating plan when requirements and capacity allow.

Pricing and service commitments are discussed after scoping. We do not advertise unvalidated service levels or a one-size-fits-all fee.

KEEP THE RIGHT CONTROLS

Responsibility stays where it belongs.

Brokerages retain oversight of registered activity, trust-account responsibilities, financial authorizations and compliance decisions. NorthOps RE would support agreed administrative tasks and maintain an escalation route whenever a question requires an authorized person.

Before handling live files, the parties should settle confidentiality, data access, privacy safeguards, system permissions and cross-border processing arrangements.
